Real Estate CRM & Lead Generation Specialist-Virtual Assistant – ID-12847
Job Overview:
We are a new startup company testing an innovative business model, and we’re looking for a proactive and detail-oriented Virtual Assistant with proven experience using the Follow Up Boss CRM. In this role, you will support our real estate team by managing the entire lead lifecycle—from generating and capturing new leads to maintaining and nurturing our existing database. You will also handle various administrative tasks that free up our agents to focus on direct client interactions and closing deals. As we test and refine our model, there will be plenty of opportunity for growth as our processes evolve and our team expands.

Key Responsibilities:
Lead Generation:
Research & Outreach: Identify potential leads through online research, social media, and other digital channels.
Data Capture: Collect and input new lead information into the CRM accurately.
Campaign Support: Assist in the creation and execution of lead generation campaigns and drip marketing initiatives to attract prospective buyers and sellers.
Performance Tracking: Monitor and report on lead generation metrics to inform strategy adjustments.
Lead and Contact Management:
Enter new leads and continuously update contact information to maintain an accurate, up-to-date database.
Organize contacts using Smart Lists, tags, and custom fields to help agents quickly identify and prioritize high-potential leads.
Reassign or update lead statuses as necessary.
Follow-Up and Communication:
Set up and manage Action Plans to automate follow-up texts and emails, ensuring every lead receives prompt and consistent communication.
Monitor messaging (calls, texts, and emails) from sellers, buyers, and brokers to ensure quick and effective responses.
Log all communications in the CRM to maintain a complete history for each lead.
Appointment Scheduling and Calendar Management:
Coordinate and schedule appointments, showings, and meetings for agents, including sending reminders and follow-up tasks.
Integrate with calendars to ensure agents are alerted to upcoming client meetings and critical tasks.
Reporting and Data Entry:
Generate and review reports on call activity, email performance, and lead engagement to track agent productivity and overall campaign effectiveness.
Conduct regular audits of CRM data to identify gaps or opportunities for improvement in follow-up strategies.
General Administrative Support:
Handle routine tasks such as email management, document preparation, and updating client records.
Ensure all changes in contact details are promptly reflected in the CRM.
Required Qualifications:
Experience:
Proven experience working with Follow Up Boss CRM or similar real estate CRM systems.
Demonstrated experience in lead generation strategies and data management.
Technical Skills:
Proficiency in using digital tools for email marketing, scheduling, and CRM management.
Familiarity with social media platforms and online research techniques for lead generation.
Communication:
Excellent written and verbal communication skills.
Ability to work independently and collaborate remotely with a real estate team.
Organizational Skills:
Strong attention to detail and the ability to manage multiple tasks and deadlines simultaneously.
Bonus Skills:
Additional Marketing and Project Management Tools:
Experience with MailChimp for email campaigns.
Proficiency with Microsoft tools (e.g., Microsoft Office Suite) for data management and communication.
Familiarity with Monday.com for project management.
Ability to create and edit visual content using Canva.
Knowledge of HubSpot for CRM and inbound marketing processes.
